Location: Minneapolis, MN - North Loop (100% Onsite)
Schedule: Monday-Friday, 8:30am-5:00pm
Employment Type: Direct Hire | Full-Time | Permanent
Salary: $55,000 base + annual bonus


Job Overview

A growing private equity / financial services firm is seeking a highly organized, proactive Administrative Assistant / Office Administrator to support daily office operations and executive leadership. This role is ideal for an experienced administrative professional who thrives in a fast-paced, professional office environment and enjoys being the central support hub for a collaborative team.


Key Responsibilities | Administrative Assistant | Office Support

Front Desk & Guest Services

  • Serve as first point of contact; greet clients, visitors, executives, and business partners
  • Manage conference room scheduling, calendars, and meeting logistics

Office Administration & Facilities Management

  • Manage incoming/outgoing mail, FedEx, UPS, USPS, and signature-required packages
  • Maintain office equipment (copiers, printers, scanners)
  • Order, stock, and manage office supplies and kitchen supplies
  • Coordinate vendors and general office upkeep

Executive & Team Support

  • Provide administrative support to partners, executives, and investment teams
  • Handle confidential and sensitive information with discretion
  • Assist with expense tracking, reporting, and documentation

Travel & Expense Coordination

  • Arrange domestic travel: flights, hotels, ground transportation
  • Track and reconcile executive and partner expense reports

Meetings, Events & Board Support

  • Coordinate board meetings, internal meetings, and off-site events
  • Organize catering, meeting materials, and schedules
  • Assist with marketing events and annual company events

Additional Administrative Duties

  • Ad-hoc projects, errands, and administrative tasks as assigned

Required Qualifications

  • 2-4+ years of administrative assistant, office administrator, or executive assistant experience
  • Experience in financial services, private equity, professional services, banking, or corporate office environments preferred
  • Strong calendar management, meeting coordination, and office operations experience
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Excellent written and verbal communication skills
  • High attention to detail and strong organizational skills
  • Ability to work independently, multitask, and prioritize tasks
  • Proven experience handling confidential information
  • Comfortable working in an office where employees may bring dogs
  • Tech-savvy and internet-savvy
